This Privacy Policy describes how SCUBE Infotech (“we”, “us”, “our”) collects, uses, stores, and protects personal data when you use our websites (including scubeinfotech.com.sg), web applications, and related services such as ChronoBill, our AI Chatbot platform, and Service Desk products (collectively, the “Services”).

2. Information we collect
Depending on how you interact with our Services, we may collect:
- Contact and account information — name, email address, phone number, company name, and messages you submit through consultation forms or support channels.
- Usage and technical data — IP address, browser type, device information, pages visited, and similar analytics data.
- Authentication data — when you sign in with Google or other identity providers, we receive information permitted by the scopes you approve (for example, name, email address, and profile identifier).
- Product usage data — data you enter into our applications (for example, timesheets, tickets, or chat conversations) as needed to provide the Service.
3. How we use your information
We use personal data to:
- Provide, operate, maintain, and improve our Services;
- Respond to enquiries, support requests, and consultation submissions;
- Authenticate users and manage accounts;
- Send service-related communications (not unsolicited marketing without consent);
- Protect security, prevent fraud, and comply with legal obligations;
- Analyse aggregated usage to improve performance and user experience.
4. Google user data (Sign in with Google / OAuth)
Some of our applications allow you to sign in using your Google account. When you do, we access Google user data only as described below and in accordance with the Google API Services User Data Policy, including the Limited Use requirements.
- Data accessed (Sign-In) — typically your Google account email address, name, and basic profile information to authenticate you and link your account to your organisation’s workspace in SCUBE AI Chatbot.
- Data accessed (Google Calendar API) — when you choose to connect Google Calendar in SCUBE AI Chatbot, we access calendar data permitted by the scopes you approve. This may include calendar lists, event details (such as title, time, and attendees where applicable), and free/busy availability information needed to support scheduling features inside the application.
- How we use it — solely to authenticate you, create or link your account, provide the user-facing features you request (including optional calendar-based scheduling and availability), and maintain security of the application. Calendar data is not used for advertising, profiling, or purposes unrelated to providing calendar features within SCUBE AI Chatbot.
- Storage — we store only what is necessary to operate your account, connected integrations, and the Service. We do not use Google user data or Google Calendar data for advertising, and we do not sell Google user data or calendar data.
- Sharing — we do not share Google user data or Google Calendar data with third parties except service providers that process data on our behalf under strict confidentiality (for example, hosting infrastructure), or when required by law.
- Human access — our personnel do not read Google user data or calendar data except when you request support, when necessary for security or legal compliance, or with your explicit consent.
- Revoking access — you may revoke our access to your Google account at any time via your Google Account permissions page. Disconnecting Calendar in SCUBE AI Chatbot or revoking permissions stops further calendar access. You may also contact us to request account or data deletion (see Section 8).
5. Third-party services
We may use trusted third parties to help operate our Services, including:
- FormSubmit — processes consultation form submissions sent to our email;
- Cloudflare Turnstile — bot protection on forms;
- Analytics — where enabled, to understand site usage (you may use browser controls to limit tracking);
- Hosting and cloud providers — to run our websites and applications.
These providers process data only as needed to perform their services and are bound by appropriate confidentiality and security obligations.
6. Cookies and similar technologies
We use cookies and similar technologies for essential site functionality, security (including Turnstile), session management, and analytics where applicable. You can control cookies through your browser settings; disabling some cookies may limit certain features.
7. Data retention
We retain personal data only as long as necessary to provide the Services, fulfil the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer required, we delete or anonymise it within a reasonable period.
8. Your rights (Singapore PDPA)
Subject to applicable law, you may request access to, correction of, or deletion of your personal data, or withdraw consent where processing is consent-based. To exercise these rights, contact us at [email protected]. We will respond within a reasonable timeframe.
9. Security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, or destruction. No method of transmission over the Internet is completely secure; we cannot guarantee absolute security.
10. International transfers
Your data may be processed in Singapore or in countries where our service providers operate. We take steps to ensure appropriate safeguards when data is transferred internationally.
11. Children
Our Services are not directed at children under 13. We do not knowingly collect personal data from children. If you believe we have collected such data, please contact us so we can delete it.
12. Changes to this Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will reflect changes. Continued use of the Services after changes constitutes acceptance of the updated Policy.
